This policy explains how we review return requests, product claims, order cancellations, replacements, and refunds involving international B2B shipments.
1. Scope of This Policy
Egypt Supplier supplies food products to international importers, wholesalers, distributors, retailers, and commercial buyers.
Orders are arranged through direct quotations and written commercial agreements rather than online checkout.
The terms agreed for each transaction, including product specifications, delivery conditions, and applicable law, govern the buyer’s contractual rights.
Where a signed sales agreement provides specific claim or refund conditions, those conditions take precedence to the extent permitted by law.
2. Returns of Food Products
Due to food safety requirements, international transport conditions, and the nature of food products, returns are not ordinarily accepted solely because a buyer changes their mind after an order has been confirmed.
This does not affect valid claims involving goods that fail to meet agreed specifications, contractual requirements, or applicable legal obligations.
Products should not be returned without prior written authorization from Egypt Supplier.
3. Damaged, Incorrect, or Nonconforming Products
If a shipment arrives with suspected damage, shortages, incorrect products, or other quality concerns, customers should notify our export team promptly.
Claims should include:
Commercial invoice or proforma invoice reference
Product name, quantity, and batch information
Description of the reported issue
Photographs or videos of affected products and packaging
Relevant shipping, delivery, or inspection records
Any other evidence reasonably necessary to investigate the claim

Customers should preserve relevant evidence and, where safe and practicable, isolate affected goods pending review. Products suspected to be unsafe should not be distributed or consumed.
4. Claim Review and Verification
We assess reported issues according to the circumstances of each shipment and the agreed commercial terms.
Our review may consider product specifications, production and packing records, loading conditions, transport documentation, delivery records, and available inspection evidence.
Where necessary, an independent inspection or additional documentation may be requested.
Claims should be submitted within the inspection and notification periods agreed in the sales contract or otherwise required by applicable law.
5. Resolution of Valid Claims
Where a valid claim is established, an appropriate resolution will be determined according to the commercial agreement and applicable law.
Depending on the circumstances, possible solutions may include:
Replacement of affected products
Supply of agreed missing quantities
A credit toward a future shipment
Partial reimbursement
A refund where contractually or legally appropriate
Another solution agreed between the parties
Any remedy is subject to the established facts, applicable contractual obligations, and relevant law.
6. Order Cancellation and Advance Payments
Customers requesting cancellation should contact Egypt Supplier in writing as early as possible.
Cancellation conditions depend on the status of the order and the terms agreed before production or procurement.
If cancellation is approved, the treatment of deposits or advance payments will be determined by the relevant agreement, reasonable documented commitments already incurred where recoverable, and applicable law.
7. Private Label and Customized Orders
Private label products, customized packaging, printed cartons, and specially produced goods may involve nonrecoverable production and material commitments.
Cancellation or return requests for customized orders are evaluated under the specific terms agreed before production.
This does not exclude legitimate claims involving defective products or failure to meet agreed specifications.
8. Shipping Damage and Transportation Claims
Responsibility for transportation risks is determined by the agreed delivery terms, including the applicable Incoterms and any cargo insurance arrangements.
Buyers should document visible shipment damage when taking delivery and notify the relevant carrier or insurer when required under their contract.
Egypt Supplier will provide reasonable assistance with shipment documentation and investigation of claims falling within its responsibilities.
9. Customs and Import-Related Issues
Import restrictions, missing destination approvals, unpaid customs charges, and unsuccessful clearance may result in delays or additional costs.
Responsibility for such issues will depend on the agreed delivery conditions and applicable legal obligations.
A customs delay alone does not automatically establish entitlement to a refund.
10. Refund Processing
Where a refund has been approved, Egypt Supplier will confirm the amount, payment method, and expected processing arrangements in writing.
Banking charges, currency differences, and any agreed deductions will be handled according to the applicable commercial terms and law.
